Overview

We are seeking a friendly and organized Receptionist to join our team. In this role, you will be the first point of contact for our clients and visitors, creating a welcoming atmosphere and ensuring smooth day-to-day operations. You will handle various administrative tasks, maintain communication channels, and support the team in delivering excellent service.

 

Position will be based in Ghatkopar West, Mumbai, India

 

Responsibilities

 

  • Front Desk Management: Greet and assist visitors, clients, and staff in a courteous and professional manner
  • Communication: Answer and direct incoming phone calls, take messages, and respond to inquiries promptly
  • Appointment Scheduling: Manage calendars, schedule appointments, and coordinate meetings for staff members
  • Administrative Support: Perform various administrative tasks, including data entry, filing, and maintaining office supplies
  • Mail and Package Handling: Receive, sort, and distribute incoming mail and packages; prepare outgoing mail
  • Record Keeping: Maintain accurate and up-to-date records of visitor logs, appointments, and other documentation
  • Office Coordination: Ensure the reception area is tidy, organized, and stocked with necessary materials
  • Customer Service: Address client concerns and inquiries with professionalism and empathy, escalating issues as necessary
  • Collaboration: Work closely with other team members to support various projects and initiatives

 

 

Skills / Qualifications

  • High school diploma or equivalent; additional certification in office management or related field is a plus
  • Previous experience as a receptionist or in a similar customer-facing role is preferred
  • Excellent verbal and written communication skills, with a friendly and approachable demeanor
  • Strong multitasking abilities and attention to detail to manage various tasks effectively
  • Proficient in MS Office Suite (Word, Excel, Outlook) and comfortable using office equipment (phones, printers, etc.)
