Overview

Element has an opportunity for a Customer Experience Partner (12–18 Month Contract Position) to join our growing team in Fort Saint John. This is a great opportunity to develop your career within a global Testing, Inspection & Certification (TIC) business. The Fort St. John facility is the only fully accredited testing laboratory in Northeast British Columbia, offering rapid turnaround times and serving clients with environmental, materials, soil, and water testing services.

 

Our Customer Experience team is a group of customer-focused professionals who are the voice of the customer within our laboratories. Each representative works with a dedicated list of customers to ensure we deliver excellent service from all our locations. Our highly engaged team collaborates across departments to ensure we meet deadlines and maintain accuracy on customer projects.


This 12–18 month contract position focuses on administrative and operational support—coordinating invoicing, answering calls, managing shipping and receiving, and assisting with client communication and project documentation. Partnering with sales, operations, and finance groups, we offer a market-leading, customer-centric approach to doing business which makes Element stand out.

 

 

Responsibilities

  • Take client calls and respond to requests, including but not limited to:
    • Reports by e-mail or fax
    • Invoice copies, account status, or billing inquiries
    • Sample testing status
    • Pricing and test availability
    • Bottle orders
    • General administrative questions related to services and shipments
  • Contact clients to resolve issues, including:
    • Missing or incomplete sample information
    • Verification or clarification of analysis requests
    • Insufficient sample volume or inappropriate sample preservation
    • Billing or invoicing questions
    • Setting up new client accounts
  • Other responsibilities include:
    • Accept and log incoming samples into the Element LIMS system
    • Assist with shipping and receiving of samples, materials, and related documentation
    • Prepare and issue invoices, monitor outstanding accounts, and follow up as required
    • Create new clients in LIMS and maintain accurate account records
    • Manage sublet reports and issue them to clients
    • Create and distribute notifications of amended reports/documents and make appropriate notes in LIMS
    • Monitor turnaround times (TAT) and inform lab staff of approaching due dates
    • Maintain a clean, organized, and safe work environment
    • Follow the Quality System as documented in the Quality Manual
    • Perform general administrative duties as directed by the team leader or lab manager
    • Communicate with clients regarding samples, results, reports, or account information
    • Support sales and operations teams with coordination of client requests and documentation
    • Maintain compliance with corporate Health and Safety policies
    • Work with trainees until documented competence is achieved
    • Maintain training records, resumes, and CVs
    • Seek guidance from the direct supervisor if unsure of any job duties or tasks

Skills / Qualifications

  • Previous administrative or customer service experience required
  • Experience with invoicing, shipping/receiving, or office coordination preferred
  • Experience in a laboratory or technical environment would be an asset, but is not required
  • Proficiency with Microsoft Office (Word, Excel, Outlook); experience with LIMS or ERP systems is an asset
  • Highly motivated and organized individual with a flexible approach to work
  • Excellent attention to detail and data accuracy
  • Strong communication and interpersonal skills
  • Ability to work independently and collaboratively
  • Ability to work well under pressure and meet tight deadlines without compromising quality or safety
