  • Overview

    Element has an opportunity for an Executive Assistant (for a 1-year maternity cover) in our London, UK Corporate Headquarters. In this role you will be responsible for executive support to the Chief Executive Officer (CEO) and Chief Financial Officer (CFO) and managing the Group Headquarters Office.


    • Executive Assistant to the CEO and CFO
    • Support of diary management, reporting and presentations for CEO / CFO
    • Travel booking using company approved vendors and expense management
    • Event planning and management of budgets for company conferences, seminars, newsletters, and other professional events
    • Arranging all management board meetings
    • Ad hoc support of our Executive Team and Chairman (e.g.: presentations / meeting requests, events and travel)
    • Line management of the receptionist / office administrator
    • Preparing meeting packs and maintenance of minutes / action logs / agendas / reports
    • Office management (e.g.: office budget, liaising with building management, project management, social events, office set-up, etc.)
    • Ensure compliance with office and company requirements for Health and Safety
    • Greet CEO and CFO visitors and ensure professional and positive office visit
    • Organise periodic training for the office and team (e.g.: One Element Week, 5S, HSE, etc.)
    • Maintain positive office morale and be a conduit between employee needs and the company
    • Maintain high level of quality and brand in everything we do within Group Headquarters
    • Management of Capex files
    • Supplier management of London office vendors

    Skills / Qualifications

    • Prior executive assistant experience required
    • Experience with travel management and prior calendar management skills
    • Proven ability of Microsoft Office (Excel and PowerPoint ideal)
    • Experience of facility management of an office or building
    • Good communication and strong interpersonal skills
    • Reliable with high level of attention to detail
    • Able to make sound judgements
    • High levels of professional integrity with proven ability to manage confidential information
    • Superb organisation skills, with experience of working to tight deadlines
    • Team player attitude and the ability to work independently
